EZRentalYard
For independent trailer yards

Rent out a trailer in ninety seconds — with the paperwork that holds up if it goes wrong.

Your customer scans a code, signs on their own phone, and photographs the trailer before it leaves. You keep the signed agreement, the timestamped condition record and the maintenance history — in one place. A trailer that fails its brake check doesn't go out.

Your own booking site included, on your own domain · no setup fee · month to month

The ninety seconds that no other rental software does

No app to install. No tablet to hand over. No phone number, no text message.

1

“Take out your phone.”

The counter screen shows a code. They scan it and your rental agreement opens on their own phone — all of it, in plain English.

2

They sign with a finger

Signature, typed name, timestamp and the exact wording they agreed to, saved together. They get their own copy before they leave the counter.

3

They photograph the trailer

Standing at the unit, on their camera, one walk-round per trailer. Lose signal or close the tab and re-scanning picks up exactly where they stopped.

A trailer that fails its brake check doesn't go out

Mark any checklist item as a gate. Fail one and the unit is red-tagged — it drops off the booking calendar and off your public site in the same moment, and it cannot be checked out until someone clears it.

Your checklist, your gates

Write your own sections and items with guidance text, and choose which ones stop a unit leaving. The shipped default covers the coupler lift test, breakaway battery load, DOT tire date codes, the penny test, and whether the customer's tow vehicle has a working brake controller.

Different questions at each end

Pick-up, drop-off and yard spot-check each show the items that belong to them. OK, FAIL or N/A with nothing pre-ticked, severity where it matters, and up to ten photos.

Damage carries forward

What was noted last time the unit went out is shown to the next person inspecting it, so a scuff from March does not become an argument in June.

If a trailer you rented is in a wreck, this is the file your lawyer asks for

A trailer leaves on a public highway, behind a stranger's vehicle, driven by someone you did not vet. Whether that ever comes back to you depends on what you can produce afterwards. EZRentalYard keeps it as you go, without anyone remembering to.

Proof the unit was inspected before it left
Timestamped pick-up inspection, per-item pass or fail, up to ten photos
Proof you don't rent known-defective units
Gate items — a failed brake check red-tags the unit and it does not go out
Proof of a maintenance regime
Recurring service schedules, jobs with parts and labor, full history per unit
Proof of who you rented to
License scanned and read: number, state, expiry, date of birth, address
Proof they could legally tow it
Tow vehicle make, model and plate on the customer record; brake-controller check on the list
A signed, versioned agreement
The full terms as they read that day, the signature image, the typed name and the timestamp
A history of every change to the record
An audit trail on every action that changes anything — who, what and when. Nothing in the software can edit or delete an entry once it is written

We don't sell you legal protection — no software can. We keep the record, so that if you ever need it, it exists and it is dated.

Your yard is bookable at nine o'clock on a Sunday

A real site at your own address, showing your fleet, your photos and your rates, taking reservations around the clock and dropping them straight onto your calendar. Included on every plan.

Included, not an add-on

Most rental software charges separately for the website — Booqable adds $19–24 a month, Goodshuffle $79, HQRent a $200 setup fee, TWICE €400. Ours is in the price, on every tier.

Live availability, never stale

Every open date comes from the same calendar your counter uses, so the trailer a customer is quoted is the trailer they get. A unit in the shop is not on sale.

Priced honestly, automatically

Daily, weekly and monthly rates with the system always applying whichever is cheapest for their dates. Nobody pays thirty daily rates for a month.

See everything it does

And the money side, in the same system

Take the card, hold the deposit, and see what the yard actually made — without a second app, and without a spreadsheet at the end of the month.

Card payments, built and waiting on your account

The counter payment, the deposit hold and the refund are shipped code, running on Stripe. They switch on for your yard when your Stripe account is connected and ours is verified — ask us where that stands and you will get a date, not a maybe. Until then the software records what you took on your own terminal and the balance is right either way.

Your Stripe account, your money

You connect your own Stripe account in a few minutes and stay the merchant of record. Payouts go to your bank on Stripe's schedule, you get your own Stripe dashboard, and we never see or hold your keys. We take no percentage of your rentals — you pay us for the software and nothing else.

Revenue and expenses, filed your way

Money in is dated when you took it, with deposits left out — a deposit is held, not earned, and counting it as revenue has a yard celebrating money it owes back. Servicing and repairs land under expense categories you name yourself. Reports keep billed, collected and earned apart, with per-unit utilization for any period and a CSV export.

What it doesn't do yet

Because you will find out on the demo, and you should hear it from us.

Customers don't pay on your booking site yet

An online booking arrives as a reservation for you to confirm, and the card is taken at the counter or over the phone when they collect. Paying at the moment of booking is the next piece of the payments work, and we are not going to pretend it is here.

It doesn't sync to QuickBooks

Not yet. Revenue and expenses are tracked and reported inside the software, and you can export your figures as CSV in the meantime.

It doesn't text your customers

Deliberately. Every text needs documented consent and a STOP keyword, and TCPA damages run $500–$1,500 per message. Your customer scans a code instead — no phone number, no carrier, no consent liability.

It doesn't do delivery routing, or a second yard

One location, no dispatch board. If you drop trailers on job sites or run two yards, we are honest that this is not built for that today.

Built and run by a #1-rated, 5.0 on Google trailer yard in Middle Tennessee — not a software company.

See it on your own fleet.

Import your trailers and rates from a spreadsheet — we hand you the template — or add them one at a time on the onboarding page, where a VIN fills in the make, model and year for you. Then look at your own business instead of a sample one. Free for 14 days, and nothing to uninstall if it turns out not to be for you.
